Creating security groups and applying them in folder permissions

You can apply permissions on folders to restrict which users can access the folders and files within a folder, this access can be restricted to read-only so no files can be deleted or edited and the access can also be completely removed so the user can't see the folder or it's contents.

To apply these permissions you'll need to:


To create a security group:

Click on the More tab, then select "Manage users and groups"

Click the "Create Group" button at the right-hand side of the window to create a new group,

Type the name for your security group in the txt box and click the "Create Group" Button,

This will have created the new group, now to add users to the group simply click the "Add Users to this group" button

For each user you'd like to add to the group, type their name and select their full username from the list that appears below:

After adding all of the users you'd like in the group, simply click the confirm button and you'll now have your security group with all of it's users.


To apply the groups in folder permissions:

Navigate to the folder you wish to apply permissions to,

To access the folder permissions you can either: Right-click the folder and select manage permissions OR click on the three dots next to the folder name and then select "Manage Permissions.."

With the Permissions window open you can add the security groups which will be able to access the folder by toggling "Customise folder permissions" to Yes and for each group to add, typing the group name then selecting it from the drop-down list that appears below.

You can add as many groups as needed and once you've added the groups you'd like to have access to the folder, click the x button in the top-right of the window to close the window and save the permissions.


Advanced Permissions:

You can also choose to customise folder permissions and allow particular groups to be able to access the folder and its contents, edit or only read.

This can be done by:

  • Navigating to the folder you wish to apply permissions to,
  • To access the folder permissions you can either: Right-click the folder and select manage permissions OR click on the three dots next to the folder name and then select "Manage Permissions.."

Once the Permissions window opens click the advanced tab,

Here you can select the permission level fro each group:

  • None will not allow any users in the group to even see the folder or any of its content.
  • Read only means users in the group can only see the folders and open read-only copies of files without being able to create, edit or delete items.
  • Edit means the users can create and edit files and folders.

Once you've finished customising the permissions you can click the x button at the top-right of the window to close and save the settings.
